Reports in our application are designed to provide a thorough analysis of assessments. These reports are generated based on the questions answered during an assessment, ensuring they are tailored to your organization's specific needs. The following types of reports are available: It sits inside the RiskWatch compliance workspace and shares its data with assessments, the evidence vault, and the audit-pack export so a single change updates every downstream view.

How do I use the Report screen?

Open the RiskWatch app, navigate to the Report module from the main menu, and apply the filters or actions described in the guide below. Permissions follow your role profile, so admins see configuration, assessors see workflow actions, and viewers see read-only data. Saved views and filters persist per user across sessions.

User Guide: Report Module for Compliance Management Application

Welcome to the Report Module of our Compliance Management application! This feature allows users to generate comprehensive reports based on assessments conducted against regulatory standards, frameworks, or custom questionnaires. Our proprietary algorithms analyse the responses to provide detailed insights, including gap analysis and risk evaluations. This guide will walk you through the functionality and capabilities of the report module in detail.

Reports in our application are designed to provide a thorough analysis of assessments. These reports are generated based on the questions answered during an assessment, ensuring they are tailored to your organization's specific needs. The following types of reports are available:

  • Gap Summary Report: Focuses on identifying gaps within your organization. It provides an executive summary, including associated risks, enabling leadership to prioritize mitigation efforts.
  • Assessment Summary Report: Offers a detailed overview of the entire assessment, listing all questions along with the provided responses, comments, and any attached evidence.

These reports ensure that your compliance efforts are documented and analysed effectively.

Report module is accessible to all the roles such as Admin, Manager, Site Contact, Limited Site Contact depends on the permissions.

  1. Report templates for available

Following reports readily available to download and these reports accessible to each roles depends on the permissions.

  • Default report shows Executive summary of the Assessment, Compliance and Risk Score Comparison chart, Assessment Compliance shows Compliant, Non-Compliant and Non-Evaluated information of the Survey.
  • Survey Summary Report shows complete details of Assessment summary of assessment such as Question, Response, Comment and Response Upload of the questions.
  • Self-Assessment Report shows Security Assessment Executive Summary of the Assessment, it shows percentage of Overall Compliance, Avg. Compliance of all Respondents and Area that need Improvement (Non Compliance questions details). In Assessment summary it shows questions, response.
  • Risk Registry Summary reports shows numbers of risk considered during the Assessment survey. In The Risk Assessment Summary it shows the risk name, Likelihood, Impact and Risk score.
  • Assessment Summary report is the combination of default report and Survey summary report, it shows the entire information of executive summary, Assessment Compliance and Gap Summary of the Assessment.
  1. Language Options for Reports

To cater to diverse user needs, the report module supports multiple languages. You can select your preferred language from the dropdown menu located at the top of the screen. This ensures that your reports are accessible and understandable across global teams.

  1. Managing Report Templates

Our application offers robust capabilities to manage report templates, making it easy to customize the format and layout to suit your organization's needs:

Public and Private Templates

  • Public Templates: These are shared templates that can be accessed by all team members. Public templates are ideal for maintaining consistency across the organization.
  • Private Templates: These templates are accessible only to the creator. Private templates are useful for individual users who need customized formats for their work.

Reports templates can be saved for reuse by the user or they can be saved as public reports, to be used by all users and have access to these reports. Custom report can be opened in editor, after edit when click on “Save As” and then selected Public, this report is saved in Public Reports. Custom report can be opened in editor, after edit when click on “Save As” and then selected Private, this report is saved in Private reports. This private report accessed based on the access level assigned to the report.

Permission-Based Access

If your organization requires more granular control, you can assign user-specific permissions to report templates. This ensures that only authorized users can access or modify certain templates.

  1. Customizing Report Templates

Our Report Editing Feature allows users to design templates that align with their organization's specific requirements. Here's how you can customize your templates:

  1. Word Editor: Use our built-in word editor to create a template with your desired design and layout. You can customize fonts, headers, footers, and other elements to match your organization's branding.
  2. Placeholders: While designing a template, you can insert placeholders to dynamically populate details such as:
    • Assessment responses.
    • Facility/location information.
    • Risk and gap analysis data.
  3. User-Defined Names: Save your customized templates with unique names for easy identification. These templates can be used as a base to generate reports for future assessments.

Custom templates ensure that reports are both consistent and tailored to the specific needs of your organization.

  1. Generating Reports

Reports can be generated in two formats:

  • PDF: Ideal for sharing finalized, non-editable documents.
  • Word Document: Useful for reports that may require further editing.

Steps to Generate Reports

  1. Choose the desired assessment which will auto populate the facility.
  2. Choose the report template (e.g., Default, Survey Summary, Self-Assessment, Risk Register and Assessment Summary).
  3. Select your preferred format (PDF or Word) which will Generate Report.

Availability of Reports

Generated reports will be stored in the application for 7 days. After this period, they will be automatically deleted. Ensure you download and save any important reports within this timeframe.

  1. Regenerating Reports

If there are updates to the assessment data (e.g., changes to responses, comments, or attachments), previously generated reports will no longer reflect the latest information. In such cases, you must regenerate the report to ensure it includes the most up-to-date data.

Report screen close using Close Button available at the top right side of the report screen.

‘Help?’ button available below Close button and right side of the screen. When clicked on ‘Help?’ button, it shows the help videos. Using this help video, user will get information about reports and how to use it.

  1. How to change the Report Language?

Report Language can be changed by selecting language which are displayed in the list. This list is displayed on the top of the page. When language is selected from the list, report page is displayed in that language.

  1. How to report an Issue on Reports?

Top of the screen, you will get button ‘Report an Issue’, It will display the pop screen, you can select the Report Type as Feature and Bug. Once click on ‘Send’ button, issue will be emailed to Customer care.

  1. What are the public reports available to generate?

Public reports available are ‘Default Report’, ‘Survey Summary Report’, ‘Self-Assessment Report’, ‘Risk Register Summary’ and ‘Assessment Summary’. Actually these reports displayed depends on the permission to the user role and user to access the report.

In Downloaded reports page, using action column and using delete icon, selected report can be deleted.
