How to create Task from My Tasks page?

Navigate to My Actions page and open My Tasks and click on any Date you want to schedule the Task, it will navigates you to the Task creation page with predefined Created date as you selected Assigned by user is the logged in user.

Navigate to My Actions page and open My Tasks and click on any Date you want to schedule the Task, it will navigates you to the Task creation page with predefined Created date as you selected Assigned by user is the logged in user. It sits inside the RiskWatch compliance workspace and shares its data with assessments, the evidence vault, and the audit-pack export so a single change updates every downstream view.

How do I use the How to create Task from My Tasks page? screen?

Open the RiskWatch app, navigate to the How to create Task from My Tasks page? module from the main menu, and apply the filters or actions described in the guide below. Permissions follow your role profile, so admins see configuration, assessors see workflow actions, and viewers see read-only data. Saved views and filters persist per user across sessions.

How to create Task from My Tasks page?

Navigate to My Actions page and open My Tasks and click on any Date you want to schedule the Task, it will navigates you to the Task creation page with predefined Created date as you selected Assigned by user is the logged in user.

And then you can create your Task in a regular way and you can come back to my tasks page by clicking Go to My actions Button in Create task page.

Make sure that you cannot create a Task for past dates. If you click on any past date in the calendar, it will not allow you to create the Task, it will alert you with a pop up which says you cannot create a Tasks for past dates.

How to View the Task Information from My Actions?

You can easily Know the Task information from the "My Actions> My Tasks" section. The calendar displays the Task numbers under each date, indicating when they were created and their scheduled duration

If multiple Tasks are scheduled for the same date, the calendar will display the total count of Tasks like +4 more or +20 more under that date, along with a clickable link to view the Task numbers.

If you click on that count it will display you the list of all Tasks scheduled for that date.

And if you click on that Task number. it will display a pop up with Task Information such as

  • Task Number
  • Start date and Due date
  • Status
  • Assigned By and Assigned To users information

Facility Level information in grid like Facility name, facility Risk score, progress, contact information, perform assessment and analysis icons, Go to assessment, Pause schedule and Delete Schedule buttons.

How to Edit the Assessment from My Actions.

You can edit the assessment from my action by clicking the Go to Assessment button in Assessment information pop up.

Click on any assessment from the calendar except the schedule later assessments. In the Assessment Information pop up you will get “Go to Assessment” Button

Ensure that "Schedule Later" assessments do not display the "Go to Assessment" button in the pop-up, as they have not been generated yet due to their start date being in the future.

Click on Go to assessment Button, it will navigate you to open the assessment and display the assessment summary page.

From Here you can open Assessment details and edit anything and from assessment summary you can do the survey, analyze the survey and calculate the risk score and you can update the facility information from here.

How to Delete the Assessment from My Actions?

Click on any assessment from the calendar, you can get the assessment information popup.

There you can see, delete button in Bottom right of the pop up.

Click on that delete button, it will ask you confirmation message in a pop up and if you still click on Yes, it will delete the assessment and shows you deletion success message at the top right.

So the assessment will be removed from the application.

Ensure that if it is Recurring assessment, you will get Delete Schedule Button instead of Delete button.

If you click on it, again it will alert you with confirmation message, if still click on Yes, it will delete the all child assessments scheduled along with the parent assessment. if the assessment having recurring functionality.

How to Pause/Resume the Schedules?

Click on an assessment from the My Actions calendar, it will Display the assessment information pop up.

Here you can get Pause schedule/Resume schedule button at the bottom right of the pop up.

Make sure these buttons will only display for assessments which are having Recurring feature.

Pause the Schedule is nothing but, you are going to hold the Child assessment generation for that particular assessment by clicking on it.

Once you click on Pause schedule button, you will get successful message and button turns into resume the Schedule.

Resume the Schedule is nothing but to start the Child assessments generation again from that clickable day.

You can Pause/Resume them in any time and in N no. of times till the child assessments generation completed.

Ensure that if an assessment has the recurring feature and Child 1 has already been generated, the "Pause Schedule" and "Resume Schedule" buttons will not appear for the parent assessment. Instead, these buttons will be displayed for Child 1 to manage the generation of Child 2.

How to perform the survey from My Actions?

To perform the survey for a particular assessment select that assessment from the My Actions>my schedules calendar.

Click on that assessment, it will shows you assessment information pop up.

Here you can select, for which facility you want to perform the survey.

So click on the Icon in perform assessment column for the selected facility.

It will navigate you to the survey page of that facility assessment. There you can do the survey as regular.

You can answer the questions and upload your attachments and add your comments.

You can come back to My Actions page by clicking on the Return to My Actions button at the Top right of the survey page.

How to View the Analysis module of the selected assessment?

Select any assessment from the My Actions calendar.

Click on that assessment, it will open one assessment information pop up.

Now select for which facility you want view the analysis.

Click on that icon from Analysis column for the selected facility.

It will navigate you to analysis screen of that particular assessment and for selected facility.

By default it will show all Non compliant questions information in the analysis grid.

From here you can select the questions for Review, add the priorities, can add the comments/ view the existing comments, and can add the attachments? View the existing attachments, can create tasks from non compliant questions, can accept the Risks, and can add/view the recommendations.

How to Track the Assessments from My Actions?

Assessment statuses can be differentiated using colors, with each status assigned a unique color to help track the assessment's lifecycle.

For example:

Schedule Later assessments : Orange color

New/not started assessments : Red color

In progress assessments : Blue color

Completed assessments : Green Color

In complete assessments : Grey color.

How do the Filters work on a My Actions Page?

The Filter feature on the My Actions page in the compliance product is a powerful tool that helps users efficiently manage and navigate through various assessments. This feature allows users to sort and narrow down assessments based on specific criteria, making it easier to find and organize relevant information. Users can apply Filters such as

  • Region
  • Facility
  • Facility Type
  • Assessment Name and
  • Status
  • Along with Dates and creator fields.

Dates: In My actions module, go to My Schedules and there you will get a Filter option at the Top Left

Click on it, It will Display a Dates filed as the first one to filter the assessments.

Click on Dates filed, it will display the Calendars to select the date. Here you have to select 2 dates from to calendars to get the data in between those 2 dates.

The first calendar should be from date and the second calendar should be the To date.

If you select the 2 dates and click on Run, it will give you the all assessments information in the calendar which are created in-between these selected dates.

Creator: In this Filters Creator is a drop down filed, here when you click on it, it will display the list of users who ever created the assessments in this application.

Ensure that the assessments can be regular and Audit assessments as well.

And when you select the creator from the list and click on Run button, the calendar will update with the assessments which are created by that selected user in the Filter.7

Here the user selection is multi check, so you can select more than one user for applying a filter to get the respective assessments.

And also you can use select all check box to get the assessments which are created from the all creators at a time.

You can get more filter options by clicking on the + icon down the Creator field

You can apply all fields at a time to get specific assessments.

Region: when you click on + icon and select the column as Region, it will display another drop down beside it having list of all regions.

And if we select those regions and click on Run button, it will display the list of assessments whose facilities are mapped with selected Regions.

Ensure that Region selection in a filter is multi select and you can select all regions at a time to get required data.

And Make sure that selected Regions are not having any assessments; the filter result will give you the empty Calendar.

Facility: when you click on + icon and select the column as Facility, it will display another drop down beside it having list of all Active facilities.

And if we select those Facilities and click on Run button, it will display the list of assessments which are having selected facilities

Ensure that Facility selection in a filter is multi select and you can select all Facilities at a time to get required data.

And Make sure that selected Facilities are not having any assessments; the filter result will give you the empty Calendar.

Facility Type: when you click on + icon and select the column as Facility type, it will display another drop down beside it having list of all Facility types.

And if we select those Facility types and click on Run button, it will display the list of assessments whose facilities are mapped with the selected Facility types.

Ensure that Facility type selection in a filter is multi select and you can select all Facility types at a time to get required data.

And Make sure that selected Facility types s are not having any assessments, The filter result will give you the empty Calendar.

Assessment Name: when you click on + icon and select the column as Assessment Name, it will display another drop down beside it having list of all Assessments including Regular and Audit assessments.

And it will show all status assessments including closed ones.

And if we select those Assessment Names and click on Run button, it will display only those selected assessments in the calendar.

Ensure that Assessment name selection in a filter is multi select and you can select all Assessments at a time to get required data.

Status: when you click on + icon and select the column as Status, it will display another drop down beside it having list of all Available status such as New/Not started, In progress, Completed, Closed and Schedule Later.

And if we select those Status and click on Run button, it will display the list of assessments which are belongs to that selected status

Ensure that Status selection in a filter is multi select and you can select all Status at a time to get required data.

And Make sure that selected Status are not having any assessments, the filter result will give you the empty Calendar.

You can apply all filters at a time to get the required assessments in a calendar and you can apply filter combinations as you required.

Ensure that when applying filter combinations, if some columns do not have data, the results will be displayed based on the Assessment Name and Facility, ignoring the other filters.

How to Go to Previous/Next month in the Calendar?

On My Actions calendar, you have Arrow marks at the Top right and down the Help button as shown below.

Click on right Arrow to move to Next month calendar.

Click on left Arrow to move to previous month calendar.

And in any month calendar (Not the current month) if you click on Today button, you will navigate to current month and highlighting the current date.

Today button is disabled in Current month calendar.

How to Upload Assessments in Bulk through My Actions?

You have another feature in the My actions is, you can create assessments in bulk at a time by adding all in excel sheet and you can upload it in one shot.

You can download the Assessment creation excel sheet by clicking on Download arrow at the Top right of the my action page beside the help button.

Make sure that from Bulk upload you can create only Regular assessments not the Audit assessments.

After filling all the required details in excel sheet, save the sheet and go to Application. In My Actions page click on Upload icon.

It will display another pop up with upload file and close button.

Simply click on Upload File and select your saved sheet. The name of your file will appear in the pop-up. Then, click on Upload to proceed. You will receive a confirmation message once the file is uploaded successfully.

Use of Help Button

You can get this button at the Top Right beside the bulk upload arrows and when click on it it will give you the Information about My actions Feature in compliance with detailed user manual Video, you can stop and close the Manual any time by clicking close button.

Note: This My tasks tab will be available for all the user roles.

From here you can create your own tasks for the required data

Only for admin, it will show my tasks and All tasks toggle feature to get everything in the grid.

For remaining user roles, my tasks page will show the tasks only related to the logged in user means assigned by him or assigned to him and if he is site supervisor for that facility.

You can create your own tasks, you can edit them by going to tasks screen as a manager for the mapped tasks only.

If you are a site contact or limited site contact, you cannot create tasks from my tasks tab.

And as a view only user, you can only view the tasks from my tasks page.
